Season 3: Episode 5 | Hire for the Gap, Not the Person: How Phumla Hired Differently

    2026/09/14 | 13 mins.
Welcome back to Season 3 of the Grow Your Healthcare Practice Podcast!
This week’s episode is a little different. Phumla is going solo for a short, practical behind-the-scenes look at a recent hiring decision inside her own practice.
Running two businesses, completing her Master’s and raising two teenagers means Phumla has had to become very intentional about one thing: asking for help and building systems that protect her time.
So when it came time to replace a virtual assistant she had worked with for three years, she realised that simply replacing the person wasn’t necessarily the right starting point.
Before writing the job description, she needed to understand the gap.
In this episode, Phumla shares how she approached the hiring process differently, including how she used AI to help organise and filter information, while keeping the important human decisions firmly in her own hands.
From more than 60 applications to interviews, practical assessments and reference checks, she takes you behind the scenes of the process and the systems that helped her complete the work efficiently alongside everything else on her plate.
The bigger lesson goes beyond hiring:
Get clear on what actually requires your judgement, and build systems to support the rest.
If you're a healthcare practice owner thinking about hiring, delegating or simply creating more capacity in your working week, this short episode is for you.

Season 3: Episode 4 — The Money Systems Every Practice Owner Needs with George Diab

    2026/09/07 | 47 mins.
Welcome back to Season 3 of the Grow Your Healthcare Practice Podcast!
This episode is a little different because Anne and Phumla are joined by their first guest of the season: George Diab, Chartered Accountant and CEO of GAS Accounting.
And we’re talking about something every healthcare practice owner has to deal with, whether numbers are your comfort zone or your biggest blind spot: money.
How separate should your personal and business finances really be? How should you think about paying yourself as the owner of your practice? How much should you be putting aside so that tax season doesn’t become a financial emergency? And at what point should you start thinking differently about your business structure?
George has spent years working with healthcare practitioners and brings a practical accounting perspective to the financial decisions practice owners often have to navigate as their businesses grow.
In this episode, you'll hear about:
Why separating your personal and business finances matters.
How to think about which expenses are paid through the business.
The different ways practice owners can approach owner compensation.
Why putting money aside throughout the year can make your obligations to SARS far less disruptive to the practice.
When VAT starts becoming an important consideration.
The different business structures practice owners may encounter, including sole proprietorships, private companies and incorporated practices.
Why your financial systems need to evolve as your practice grows.
How better financial planning can help prevent tax obligations from suddenly draining the cash your practice needs to operate.
The goal isn’t to turn you into an accountant.
It’s to help you ask better questions, understand your numbers and put financial systems in place that support a more sustainable practice.
    Also mentioned in this episode
Our next FREE Practice Operating System Masterclass takes place on Thursday, 17 September from 7:00 PM – 8:00 PM SAST.
Anne and Phumla will unpack the systems that help private healthcare practice owners build practices that can create sustainable income and value without everything depending on the owner.

Season 3: Episode 3 | Why Your Patients Aren’t Completing Their Treatment Journey

    2026/08/31 | 15 mins.
Welcome back to Season 3 of the Grow Your Healthcare Practice Podcast!
Your patients may understand what’s happening in today’s appointment. But do they understand the full journey you’re asking them to take?
In this episode, Anne and Phumla explore what they call “The Invisible Roadmap Problem”: what happens when the practitioner can clearly see the treatment journey, but the patient can’t.
You may know exactly where a patient is now, what needs to happen next and what successful completion of treatment looks like. But if that roadmap only exists in your head, your treatment plan or a conversation the patient had with you weeks ago, they may be working with a very different picture.
And when they start feeling better, it’s easy for them to assume: “I’m better, so I must be done.”
Through practical healthcare scenarios, Anne and Phumla explore how making the patient journey more visible can support continuity of care, create clearer expectations and reduce the amount of reactive follow-up the practitioner has to carry.
    In this episode, you'll learn:
Why patients can disengage from treatment even when they’re making good clinical progress.
What The Invisible Roadmap Problem looks like inside a healthcare practice.
Why explaining the treatment journey once may not be enough for patients to understand where they are and what comes next.
How to turn your existing treatment journey into something patients can actually see and refer back to.
Why a simple stage check-in at the end of each session can help patients understand their progress and next step.
How structured follow-up can reduce the time you spend reactively chasing patients who haven’t rebooked.
The difference between reactive practice management and proactively designing systems that support both the patient and the practice.
    Resources mentioned:
    Booklet 1: Patient Best Interest
    Booklet 4: Informed Consent
    Your challenge this week:
Take the treatment journey that currently exists in your head and make it visible.
Choose one of your core services and map out:
    Where does the patient begin?
What are the key stages of their treatment?
How will they know they're making progress?
    What happens at each stage?
What does successfully completing the journey look like?
Then turn it into something simple your patients can actually see — whether that's a one-page infographic, a treatment-room visual, a graphic included in your communication, or another format that works for your practice.
At the end of each session, use that roadmap to show the patient:
    This is where you started.
This is where you are now.
And this is where we're going next.
Because a strong patient journey shouldn't depend on your patients remembering everything you explained several weeks ago.
If you can see the map, make sure they can see it too.

Season 3: Episode 2 | Do You Know What Your Practice Could Actually Earn?

    2026/08/24 | 16 mins.
Do you know what your practice could realistically earn — or do you simply know what comes into your account each month?
In this episode, Anne and Phumla explore what they call “The Invisible Ceiling”: the gap between what your practice is currently earning and what it could earn if your time, capacity, services and rates were structured more intentionally.
Through real-world healthcare practice scenarios, they unpack why a full diary doesn't necessarily mean you're operating at your potential, how becoming the one-person bottleneck can limit your practice, and why understanding your numbers is an essential part of shifting from thinking purely as a clinician to leading your practice as a CEO.
    In this episode, you'll learn:
How to calculate the realistic earning potential — or “ceiling” — of your practice.
Why knowing what you earn today isn't enough to make informed decisions about your future.
How to identify your personal “enough number” and use it to set a meaningful financial target.
Why the gap between your current earnings, your enough number and your earning potential is valuable business information.
How protecting dedicated time for CEO work can help you make more intentional decisions about pricing, capacity, delegation and growth.
    Resources mentioned:
    Booklet 1: Patient Best Interest
Booklet 19: Ethical Billing & Informed Financial Consent
Booklet 20: Using AI Tools Wisely
    Your challenge this week:
Set aside one focused hour and start putting real numbers behind your practice.
Calculate what your practice could realistically earn in a well-structured month.
Work out your “enough number” — what you actually need to earn to live comfortably, meet your commitments and feel financially secure.
Compare those numbers with what you're earning now.
Ask yourself: What is the gap, and what is it telling me about where my attention needs to go next?
The gap isn't a failure. It's data. And once you can see it clearly, you can start making more deliberate decisions about the practice you're building.
